Here we provide the answers to some commonly asked questions. If you have a question that isn't answered here, reach out to your Activity Manager or Head Office line manager.
If you have more students than expected then this is normally okay as you will just have slightly larger groups. Let your Activity Manager know if you will need extra assistance.
If you have fewer students, work out if it is possible to still run the activity as planned, otherwise you will need to modify the activity accordingly.
Thatโs okay! Sometimes it happens that activities run shorter than planned! If there are less than 40 minutes left of the session then check with your AM to see if it would be okay for the students to leave earlier. If more than 40 minutes remain, try to repeat the most popular part of the activity or extend a warm down session, or even hold a review session for the students to recall in English what they did.
Be sure to talk to the student and see if they understand what is being asked of them. Sometimes students may not wish to take part if they donโt understand what is happening. If the student continues to not wish to take part, allow them to sit out but donโt draw attention to them and keep the other students occupied. Eventually the student will realise that they are not getting negative attention and will join back into the activity. Alternatively some positive reinforcement can help; provide some words of encouragement and motivation.
While you should try to discourage this as much as possible (try motivating students to stay by switching up the current activity), it naturally happens sometimes. Make sure to inform your Activity Manager of what's happening. If the activity the students want to join is adjacent, check in with the staff member running it. If the other activity is further away, you'll need to coordinate for somebody to escort the students.
While we discourage using your mobile phone excessively during excursions, it can be an essential tool to help avoid unexpected road closures or public transport issues.
Google Maps is always useful, but in the following cities, CityMapper (Android / iOS) is king: London, Manchester, Liverpool, Birmingham, Edinburgh, Glasgow, Nottingham, Cardiff and Bristol.
In London, tfl.gov.uk is great for checking tube line status, planning a journey and more.
